The best CRM for photographers is Dubsado. Not only is it the most used, it’s also the one with the best combination of cost, features, and ease of use. But you don’t have to just take my word for it—I’ve tested so many different CRMs over my decade in business and I’m comparing them all here so that you can make the best choice for you!
In an era when nearly everything about our pre and post workflows is digital, having a great CRM (AKA Client Relationship Manager) in your back pocket is one of the most powerful & important tools a photographer can have. I’ve put together all of the most popular options together here so that you can easily compare without investing hundreds of hours (or dollars!) into finding one that works for you.
This blog post includes:
- Dubsado
- Honeybook
- Pixieset
- Studio Ninja
- 17hats
- VSCO Workspace
- Sprout Studio
I’ve been a photographer for 10+ years and have served hundreds of clients, so I know about what makes a good CRM and what will only slow you down. Keep reading for all of the best information to know about each one as well as details like customer service response times, feature overviews, helpful tables, and more. I’ve built this resource to actually take you to the heart of each brand available and show you what they’re about so that you can get to what you actually need!

What’s a CRM?
CRM stands for “customer relationship management” or “client relationship management” software. It’s a program or app that collects important client details in one place, including contact info and the specifics of the project the client(s) hired you for…
But a CRM does so much more than organize information you need to build successful relationships with clients. It helps with managing:
- Tasks
- Scheduling
- Communication
- Contracts
- Payments
- Workflows
A good CRM helps you manage client relationships—but a great one also helps consolidate different areas and parts of your business all in one place.
Why Photographers Need a CRM for Their Business
If you’re reading this, then you probably already know: photographers have a lot of different parts of their business to keep track of.
When you’re just getting started, you can piece together what you need. You can use spreadsheets to organize contact details, manually input everything into your calendar, scroll through your inbox to find past emails with clients, input your to-do list into a task manager, request payments, and send contracts through a contract e-signing tool…
But doing what I just described manually usually takes at least 6 different tools:

spreadsheet software like Excel or Google Sheets 49899_bf1b43-05> |

![]() |
a contract signer like Docusign or Adobe Acrobat 49899_fbed1a-9a> |
Instead of constantly having to switch back and forth between different tools—each mainly designed for one type of task—you can just go to one place for all of it.
Any good CRM for photographers should be able to be your central hub for:
- Sharing and sending forms to collect information—forms and questionnaires collect information, and a CRM can organize those details in more effective ways than a series of spreadsheets scaffolded together
- Managing your calendar—automatically keeping track of your bookings (especially to prevent accidental double-bookings) and ideally helping schedule consultation calls for wedding & elopement photographers or mini sessions for portrait or family photographers
- Communicate with clients—either through email (with most CRMs pulling in email communications directly into the software) or a client portal
- Streamline your workflow—organizing what tasks you need to complete for each client and when, as well as helping you make sure nothing falls through the cracks
- Financial & legal recordkeeping—which includes keeping accepting deposits, keeping track of upcoming payments, and requesting signatures for contracts
When you invest in a CRM, you spend less time writing up the same emails over and over again or trying to remember to send out payment reminders—and instead you can invest that time into creating meaningful connections with your clients.

Introducing the Best CRMs for Photographers
I asked photographers in my Weddings & Wanderlust Facebook group what CRM is their favorite and why, and over 400 photographers responded!
Here were the results:
- Dubsado (38%)
- HoneyBook (19%)
- Pixieset Studio Manager (9%)
- Studio Ninja (8%)
- 17hats (6%)
- Táve → now VSCO Workspace, as of August 2025 (6%)
- Sprout Studio (4%)
… and the remaining 10% was divided between other options like Session, Unscripted, and Lightfolio

This blog post compares the 7 best CRMs for photographers—as voted by photographers—and explains the pros and cons for each one. This isn’t every single CRM option out there, but this encompasses the top ones used in the group! This poll includes wedding photographers, elopement photographers, family photographers, and more.

What’s the difference between a CRM and studio management software?
Honestly, they’re used pretty interchangeably.
From what I’ve personally noticed:
|
Studio management software 49899_070ac5-78> |
![]() |
This term is more commonly used for software specifically tailored for photographers and videographers. (Not the ones for the music industry.) Studio management software tends to have photographer-specific features and integrations, like the ability to host galleries and photography-specific email templates. Some studio management options are designed to accommodate photographer teams or associates, which require different types of organization compared to “solopreneurs”. Examples:
Pixieset Studio Manager has it in the name 49899_dceb12-16> |
|
Client relationship management / customer relationship management software 49899_6360c2-0f> |
![]() |
Many CRMs have an intended user base beyond just photographers. Traditional CRMs are more likely to have powerful automation tools and customization options because they are robust platforms that work for users across different creative industries. Examples:
17hats uses the wording “CRM + small business management software” 49899_ffb163-a6> |
Some options even use both terms, which blurs the differences even more. For example: VSCO Workspace (previously Táve) says it’s “a CRM for photographers & studio management software,” and Sprout Studio says it includes “a CRM, studio management system, galleries & more.”
How to Pick the Best CRM for You
The most effective way to figure out which CRM (or studio management software) is the right fit for you is to decide which features are most important to you.
Some photographers really want to maximize what can be automated and might use workflow automation features to guide their choice. Others might feel really strongly about the branding customization of their client management system, so they might prioritize options that allow for more visual personalization.
It’s just like how some photographers swear by Sony (like me!), but others wouldn’t ever want to switch away from their Canon cameras. There’s no “wrong” answer, but we have different artistic preferences. Picking a CRM is very similar.
But I know narrowing down on which features are most important to you can be a challenging task (especially when CRMs can have so many features)—so here’s my best pro tips:
- Keep track of all of the tasks you do in a week for your photography business. Look for tasks you’re doing over and over again that could be automated or templated
- Be honest about the parts of your business that cause the biggest headaches and what you struggle to keep track of. These aren’t failures, and we all have our strengths and weaknesses when it comes to running our businesses. Look for a CRM that can simplify the tasks you avoid and help organize the information you need
- Think about how much time you realistically are willing to spend learning and setting up the system. The CRMs with the most advanced features often have more features in general… and it can take more time and a steeper learning curve to get comfortable with them. If you just need to set it up to do the bare minimum but you need to do it fast, then that might lead you to different options
- Notice what catches your attention as you read on! At some point, you might think to yourself, “That feature sounds really interesting” or “Wow, I could really use that.” Listen to those thoughts!
- Consider how important it is that your CRM integrates with what you already have in place. For example, some CRMs integrate with specific gallery platforms like Pixieset (Pixieset Studio Manager) or Pic-Time (Honeybook, Studio Ninja, and VSCO Workspace). Other photographers might rely on QuickBooks to help manage finances—and Dubsado, HoneyBook, Studio Ninja, and 17hats all include some form of QuickBooks integration that could help with that. The Top 7 Photographer CRMs Feature Overview section below lists out even more integrations!
- Ask yourself: are the photography-specific tools most important to you, or would you rather have more generalized but advanced tools that all sorts of businesses rely on to build stronger client relationships? If you answered photography-specific tools, then start with the studio management options. If you’re open to diving into a software and taking advantage of all of the advanced features it has to offer, then Dubsado or HoneyBook are likely going to be a good place to start
This blog post shares an overview of the most important features that are relevant to most photographers (especially wedding and elopement photographers), but it doesn’t dive into everything. You might want to do some extra research on your own if you discover other features that are important to you, like:
- Print shop integration/fulfilment options—if print products sales are a strong part of your business or an area you want to grow more in, then you might want to find out: How many labs does the CRM integrate with? Do you have to self-fulfil orders? Can you offer products from multiple labs?
- Multiple brand options—if you run several businesses or operate under more than one brand, then you’ll want to make sure that your CRM can do the same
- Time tracking capabilities—if you are someone who uses time blocking to plan out your day or relies on time tracking to organize your business, then a time tracking tool built right into your CRM could help further streamline your business
- Team management features—if you operate as a photography team or frequently hire associates, then you’ll definitely want to investigate which CRMs can accommodate a team structure, as well as: How many users can you have on which plans? How much access does each user have to the behind-the-scenes platform? Can you assign leads and clients? How do you organize tasks across the team? Can it handle other logistics tracking, like mileage or income-per-user?

DISCLAIMER: Most of the information in this section comes from spending 20+ hours diving into Help Center documentation provided by each CRM. Help Center articles are not always up-to-date, and sometimes important information is missing from them. CRMs also change and update features all of the time.
This feature overview table should be used as a starting point and will be most helpful for figuring out which features are NOT currently available on specific platforms at the time this research was done.
Additionally, not all of these features are available on all plans. Some features are reserved for higher pricing tiers. Be sure to do your own research on the CRM’s website directly to confirm details and availability.

Pricing Comparison for the Top 7 Photographer CRMs
The below graphic compares the range of pricing across all plans for the 7 top photography CRMs.
For consistency, the prices shown are for subscriptions that are paid monthly—but most CRMs offer a discount or two months free if you pay annually.

Pixieset Studio Manager is the most affordable—but it is also the only option that does not offer custom automations beyond payment reminders (learn more about this Pixieset Studio Manager con here).
Dubsado and Studio Ninja offer similar pricing:
- Dubsado is a more robust but generalized CRM, and most users need to spend more time personalizing it for their photography-specific needs
- Studio Ninja is a photography studio management software that caters to photographers—but it is also the only option that does not include a scheduling feature, which is a huge help for managing inquiry consultation calls
HoneyBook raised their prices in February 2025, becoming the most expensive CRM included. Some photographers using HoneyBook shared that their estimated monthly cost after the 1-year discount HoneyBook offered was going to be more than double what they had been paying previously (i.e. a photographer paying $19/monthly for the starter plan would be paying $36/monthly). Some photographers still find the platform worth paying for, even at the higher cost—and you can explore the pros of HoneyBook here.

How Customizable is Each CRM?
Photographers tend to be drawn to the aesthetic and the visual.
Our businesses are designed to financially support our artistry… and having a CRM that can be designed to match branding can be really important to some photographers.
This section ranks how much you can customize the branding for each CRM (from most personalizable to least) based on how each CRM describes branding options in their public-facing Help Centers.
DISCLAIMER: Most of the information in this section comes from spending 20+ hours diving into Help Center documentation provided by each CRM. Help Center articles are not always up-to-date, and sometimes important information is missing from them. CRMs also change and update features all of the time.
If you notice outdated information, please email hello@adventureinsteadacademy.com with a link to the CRM’s website or screenshot that shows otherwise!
1. Dubsado: the most customizable CRM option for photographers
Dubsado is ranked the most customizable option for 3 reasons:
- It has impressive built-in design functionality—from universal branding settings to form styling to customizing the client portal, Dubsado gives you many ways to make it look like part of your brand
- It allows for custom CSS styling on its forms—you can already do a lot with the built-in form styling options, but being able to add custom CSS code to your forms really takes it to the next level. CSS is a coding language most known for styling webpages, and knowing the basics of CSS can open up new possibilities for customizing CRMs that allow you to add your own code!
- You can embed your client portal into your website—allowing clients to log directly into their portal from your website (via embedding) helps create a seamless experience
Dubsado has a steeper learning curve than some of the other CRMs—but if customization is important to you, then you can’t go wrong!
2. VSCO Workspace: the most brandable studio management software
VSCO Workspace lands in second place overall and is the most brandable studio management software for 2 similar reasons:
- It has an impressive number of customization inputs built into the platform
- Like Dubsado, it allows for custom CSS styling… but you can use CSS to change the styling not only of forms but also the fonts of the platform, the contact form, contracts, invoices, quotes, and questionnaires. Learn more about custom CSS code on VSCO Workspace here.
3. HoneyBook: straightforward in its customization
HoneyBook has a reputation for its aesthetics—and it allows for a lot of customization with your branding assets and company theme, as well as the detailed settings for themes used on smart files.
Being able to apply branding through themes makes customization easier than some of the alternatives.
4. Sprout Studio: customization at a higher cost
Sprout Studio, like Dubsado and VSCO Workspace, allows for custom CSS on forms…
But it’s lower down on the list because you can’t customize the styling of forms on the Lite or Basic plans, even though you can do CSS coding on all levels of plans with Dubsado and VSCO Workspace.
5. Studio Ninja: limited branding possibilities
Studio Ninja has limited form customization, and most of their other branding personalization comes from choosing just one color for your “color theme” and a banner image for client portals.
6. 17hats: a CRM with a simple but effective design
17hats is honestly pretty limited in the ways you can brand it. In 17hats’ “Five Ways To Showcase Your Branding With 17hats” blog post, they mention that you can customize the platform with your logo, a subdomain, accent & document button fonts, and colors…
But the main fonts of documents and emails—like many other features of how the platform visually looks to you and clients—have been chosen for you.
This isn’t a problem if you like the pre-set design of the CRM, but you’ll want to look into other options if not.
7. Pixieset Studio Manager: best for photographers wanting simplicity over customization
According to Pixieset Studio Manager’s help center article on branding, there are only four parts of the platform that can be customized:
- logo & cover logo
- default cover image
- two colors (background and accent)
- and a choice between san serif or serif fonts
This is great for photographers who want to tweak a few fast settings and be done with it, but there are clear limits on how much customization is possible.
Customer Service for Each CRM
Your CRM is involved with so many important parts of your business: client communications, scheduling, organizing information like contact details and addresses of where you need to go for a session…
That’s why it’s helpful to know there is a solid customer support team easily available to you to resolve any urgent issues you have or answer questions.
As part of this research, I reached out to the live support chats for each of the 7 CRMs with the same question on a Friday afternoon to find out:
- How quickly they would respond
- How detailed the answers were
Here are the results:
1. HoneyBook: the quickest customer support

I could not find customer service support hours listed publicly, but I did get a quick response. Like HoneyBook, Dubsado has an automated chatbot that responds automatically. It did not provide as relevant information as HoneyBook’s chatbot for the questions I asked… However, the customer service agent I chatted with clearly had the most knowledge of the topic I was asking about (more than any other CRM help chat), but this could also depend on who you’re talking to 49899_45f201-7a> |

Customer Service Hours 49899_71475a-38> |
Despite their homepage saying “learn fast with 24 hour support,” their support team does not actually seem to be around 24 hours per day. 49899_be93b8-83> |

Scout, their AI agent, was able to respond quickly and comprehensively with information—but all of the resources I was directed to were reserved for current users and not potential ones, so Scout might not be a useful tool if you are asking about a specific feature you’re wanting before committing to VSCO Workspace When I did get a response from a customer service agent, it fully answered my questions and made me aware of a resource that VSCO Workspace offers that no other CRM here does (a public API!) 49899_28f140-d2> |
|
Customer Service Hours 49899_1d7a68-8d> |
Mon-Fri 9am-5pm ET. They also have extended support hours of Mon-Thu 9am-5pm UK time 49899_691388-f5> |
7. Sprout Studio: inconsistent & slow responses
|
Response Time 49899_3e6f07-79> |
several days later 49899_485814-e1> |

Customer Service Hours 49899_1db8f3-c5> |
Based on my experience, they appear to have limited customer service hours—but they don’t seem to be posted anywhere I got an automated response on Friday saying “Back Monday,” so it appears they do not have any Friday, Saturday, or Sunday support 49899_9844a3-50> |

The Best CRMs for Photographers
This section dives deeper into each of the 7 CRMs, including:
- The pros—the best parts of the CRM that make it different from the 6 other options
- The cons—downsides to that particular CRM, especially anything it is missing that most of the alternatives offer
- Who the CRM is best for—based on the pros & cons, to get a sense of if it could be a good fit for you & what you’re looking for
- Reviews—from the comments of poll that I mentioned above, if available (Pixieset Studio Manager, for example, was not discussed at all in the comments)
- Get started—details about free trials or tiers, as well as migration services
Option 1: Dubsado
PRO TIP: For a more detailed comparison of the top 2 options (Dubsado & Honeybook), check out my detailed Dubsado vs. HoneyBook resource!
Dubsado Pros
- Customizability—Dubsado offers a robust set of features, so you can both customize what you are sharing with couples to look like your branding AND customize your Dubsado experience so that your CRM is accomplishing what you want it to
- Robust workflow automation options—I personally use Dubsado, and I appreciate how much flexibility it gives you with workflows without feeling too complicated or technical
- The most cost effective option—one of the lowest priced CRMs with more robust functionality than some of its competitors who are priced similarly, like Pixieset Studio Manager
- Lowest cost option for CSS styling—Dubsado is one of three CRM options that allows for custom CSS styling (VSCO Workspace and the top two tiers of Sprout Studio plans allow for CSS styling as well)
- Dubsado is the cheapest CRM option that allows for CSS styling
- Free trial does not expire—you can go through the full Dubsado experience with 3 clients, which really allows you to get a good idea of what using the CRM is like without having to worry about a 7-day window
Dubsado Cons
- Steeper learning curve—How much you can customize it means that there is more to learn, so it can be intimidating for new users or a bad fit for photographers who want to get their CRM set up as quickly as possible
- Releases updates slower than some of the competitor CRMs like HoneyBook—but I am very excited for their 3.0 release
Who Dubsado is Best For
- Photographers who are:
- excited by customization
- willing to learn a new system and what it has to offer them
- determined to take the time needed to set up a really effective system—so that their workflow can be streamlined and automated moving forward
Dubsado Reviews from Real Photographers
- “Switched from [HoneyBook] to Dubsado about 3-4 years ago and haven’t looked back! I really like the workflows, call scheduler (I even automate this for check-in calls a few months before the wedding), and customization options. I also appreciate that, on the client side, they don’t have to log in or enter an email every single time they click a link. One less step for them! My only complaint thus far – not being able to *automatically* send all invoices to a third party payer, nor CC a third email on auto emails”
- “I love Dubsado’s built in scheduler, and how smooth the client experience is. Proposals are fully customizable which is rad, because I can essentially create a fully personalized proposal for every client that feels super polished but still clearly was made for that specific couple. And the workflow for booking is so easy (proposal submission automatically moves to contract signing which auto moves to invoice paying). Lots of automation, and I’m not even taking full advantage of all the features yet! I do wish their internal reports were a little more robust, but they’re constantly improving all their features, including reporting. It’s my dream CRM and I don’t see myself ever leaving!”
- “I was with Honeybook and found it not super user-friendly as a customer (anytime I’ve had to sign/view since then I still feel that way). I switched to Dubsado a few years ago and find the setup per client way easier to organize and utilize. I love their workflow options that you can set up to automatically trigger, and overall I just find their support team way more responsive. Cannot recommend the switch enough”
Get Started with Dubsado
- Dubsado’s trial period does not have a time limit but instead limits you to 3 clients. This allows you to try out the entire experience from inquiry to gallery delivery without having to pay anything. Learn more about Dubsado’s free trial—and get started with yours here!
- Dubsado’s Forms Team can recreate up to 10 of your forms for you in Dubsado’s platform at no cost, which you can learn more about here
- Photographers migrating from HoneyBook to Dubsado can follow these steps for guidance on how to best get started with Dubsado
Option 2: HoneyBook
PRO TIP: For a more detailed comparison of the top 2 options (Dubsado & Honeybook), check out my detailed Dubsado vs. HoneyBook resource!
HoneyBook Pros
- Outstanding customer service—responded quicker than any other CRM’s customer support (see the full comparison here)
- Of all of the CRMs that share specific hours that their customer service live chat is available so you can talk to an actual person, HoneyBook has the most hours of availability per week
- Ongoing commitment to improving the platform—recent updates that have added new features, including conditional logic with automations
- A favorite among photographers—very aesthetic platform, and they have a really great referral program that allows it to spread quickly
- Integrated text message reminders— you can easily text important reminders to current and potential clients, meaning they’ll be less likely to accidentally miss that important email in their inbox. Currently HoneyBook is the only one of these options that has that feature, but you must be on the Essentials plan or higher to have access to this feature
HoneyBook Cons
- The most expensive option for photographers—HoneyBook raised their prices at the beginning of 2025. Their Starter Plan is now the most expensive starting option out there ($36/monthly, which is $11 more expensive than the next closest option, VSCO Workspace’s Solo Plan)
- Limitations of HoneyBook client portals—the biggest thing personally that’s steered me clear from HoneyBook is having been on the receiving end of it on a client side. When I’ve hired a photographer or vendor that has used HoneyBook, I’ve always been super annoyed as a client that I had to log in to email back or communicate or every single time they sent me a link.
- Only available in the U.S. and Canada
Who HoneyBook is Best For
- Photographers who:
- want a straightforward, easy experience with setting up a new CRM (HoneyBook has a reputation for being user-friendly for business owners)
- are willing to pay more for a system that is tried and tested by photographers and business owners in other industries
HoneyBook Reviews from Real Photographers
- “All of the features I’ve read here about Dubsado, HoneyBook has and more. However, I’ve never personally tried Dubsado so maybe I don’t understand how different it really is. HoneyBook has added a lot of features recently too that I love like the AI Assistant for my consult calls. It transcribes the entire call and emails me a summary of actions and important notes. I also like that I can connect a couples Pic-Time gallery to their [HoneyBook] project. You can add call scheduler links into any automated email and proposal too. They have a whole finance tab they’ve worked on a lot over the past year that has been amazing to use.”
- “Love honeybook. It’s easy to use and I have everything in one place. My timeline building, questionnaires, invoicing, CRM, brochures. Contracts, phone scheduling. I couldn’t live without it. I did look At dubsado once and I didn’t like the interface. It wasn’t as user friendly. I’m ok with the price hike as I use ever[y] bit of the program. I would like them to make the client experience a little easier but that’s my only issue.”
- “We currently use Honeybook and aren’t super familiar with other CRM platforms. While we’re not happy about the price increase, we are also increasing our prices for 2025. At this point, I feel like it’s easier to stick with Honeybook since we already have many active projects for 2025 and we are comfortable with the platform. On our end, Honeybook is super easy to use, which I appreciate. However, I don’t love how it works for my clients specifically that they have to log in to HoneyBook every time they want to respond to an email. I also dislike that when an inquiry comes through the contact form embedded on my site, my initial response often ends up in the client’s spam folder. It’s frustrating because I feel like it costs us potential clients. We’re sticking with it because I just don’t want to add more workload to myself by making the switch right now lol.”
- “I was Honeybook for a long time, and then ended up moving to Dubsado a few years ago now. Will never look back. The spark was when a client mentioned to me in an offhand way how he was trying to find something I’d sent him to complete. He and the bride-to-be both went back through the ’string’ to see if they could find it and neither could. I was like, wait, “string?” what is that. He’s like “the string of responses.” I was confused so I made myself as a fake client and then sent a BUNCH of emails and communications through it as if I were communicating with a real couple. It felt terrible. And confusing to navigate. If you’ve ever worked in corporate it felt like an IT ticket. NOT like a warm and comfortable place to manage a relationship. I was shocked. I immediately began the search and found Dubsado and moved because of the clean integration to their email as REAL EMAILS, and the whitelabeling option.”
Get Started with HoneyBook
- HoneyBook’s free trial is limited to 7 days, and you can start your week of HoneyBook here
- New HoneyBook members can use the free file setup service, which is where the HoneyBook team imports your existing contracts, pricing lists, and questionnaires into HoneyBook. Learn more about free account migration here
Option 3: Pixieset Studio Manager
Pixieset Studio Manager Pros
- Streamlines your process with Pixieset—you only use one platform for everything (your client gallery, website builder, studio manager, store, and mobile gallery app), which means it is all centralized in the same place
- Has a completely free plan—similar to Dubsado, this free plan allows you to have up to 3 contracts with eSignatures, but it also allows you to have unlimited invoices and 3 questionnaires & quotes. These free plans are great for getting to know a platform and being able to experience the full process with it before fully committing
- Pixieset gallery integration—while some of the other studio management softwares have gallery integrations, this is the exclusive one that integrates with Pixieset galleries. Pixieset’s main offering still appears to be their galleries, so the studio management system appears to be intentionally designed with that in mind
Pixieset Studio Manager Cons
- Limited functionality—the most paired down options of all of the CRMs and studio management systems shared here. This could be because Pixieset is primarily known for their galleries, so Pixieset Studio Manager is not their main offering
- No workflow automations—there are a few very simple options for automated reminders, but this is the only option that does not include any workflow automations, which impacts how sustainable this option is
- Less information in their help center—because Pixieset Studio Manager is a newer option, there is less information available for guidance and troubleshooting in the Pixieset Studio Manager Help Center
Who Pixieset Studio Manager is Best For
- Photographers who are:
- already using Pixieset client galleries and want to keep their business all centrally located in one place (definitely should check out The Pixieset Suite for bundled pricing options)
- aren’t at a point in their business yet where automation makes a significant difference
- When you are overseeing 8 or fewer clients, you usually can create other systems of reminders to make sure nothing falls through the cracks—but once you start taking on more clients, especially for bigger projects like wedding & elopement photography, it is really important to automate as much as possible to reduce the amount of time you are spending on administrative tasks and make sure nothing falls through the cracks
Get Started with Pixieset Studio Manager
- Pixieset Studio Manager offers a free plan that is very similar to Dubsado’s free trial—it allows the user to have up to 3 contracts with eSignatures and up to 3 questionnaires & quotes. Compare the free tier to Pixieset Studio Manager’s paid options here
Option 4: Studio Ninja
Studio Ninja Pros
- A studio management software that is “designed by photographers for photographers”—some other CRMs like HoneyBook and Dubsado are used by business owners across many different industries. This means that sometimes they have more features… but they are also not always as specific for what photographers need. Studio Ninja demonstrates their commitment to photographers by including sample templates and questionnaires as part of the system, which can help a new user have a solid head start
- Full migration services with no additional cost—when you are transferring from one CRM to another, it is important to research what migration options are out there to help make the process easier.
- Of these seven options, Studio Ninja is the only option that offers full migration to paid subscribers
- Studio Ninja can help migrate your client list, quote template(s), contract template(s), questionnaire template(s), products and packages, email templates, payment schedules, and workflow templates
- GDPR-friendly—GDPR, or the General Data Protection Regulation, requires specific ways of collecting and managing private information within the European Union. Looking through their help center articles, they have a lot of information about ways that photographers using Studio Ninja can remain compliant with GDPR. If you are located in the European Union and want a CRM option that will streamline how you implement GDPR into your business and workflows, check out their “How does Studio Ninja help me be GDPR compliant?” article
- The most cost-effective studio management software—comparably priced to Dubsado and Pixieset Studio Manager. It offers greater functionality than Pixieset Studio Manager, as well as photography-specific tools that Dubsado is currently missing, like integrations with Pic-Time, ShootProof, Fundy, and Pro-Select
Studio Ninja Cons
- Limited opportunities to oversee and manage your schedule—Studio Ninja is the only option of these CRMs that does not have a built-in scheduler to help you book consultation calls or sessions, so all scheduling must be done either manually or with a third-party platform like Calendly. Studio Ninja also only has a one-way integration with Google Calendar, so new events added to Google Calendar will not be visible to Studio Ninja
- Baseline functionality but not many advanced options—Studio Ninja covers most of the other basics that you would want a CRM to be able to handle, but it doesn’t have as many options as some of the alternatives. For example, there is no expense tracking in the finances section and only basic options for workflow items and setup
- The NinjaAcademy help center can be confusing—it can be more difficult to learn more or troubleshoot issues with Studio Ninja because of the way that their Ninja Academy help center is laid out. Most of the information about how to set up and use the CRM is in the “New to Studio Ninja? Start here!” section rather than being organized into topics. This, combined with the fact that they are on the slower side of customer support, means that you might be looking or waiting longer for the information you need
Who Studio Ninja is Best For
- Photographers who are:
- located in Europe and need to be GDPR-compliant
- newer to the industry and don’t have their own email and questionnaire templates yet—Studio Ninja’s provided templates can be a great starting place and help you figure out what information you need to include, and you can still personalize those templates to make them your own
Studio Ninja Review from a Real Photographers
- “Studio ninja was easy to set up and I’ve had nothing but com[p]liments from my couples on using the system”

Option 5: 17hats
17hats Pros
- If/Then questions in questionnaires—this is by far one of the coolest features that 17hats offers, which allows you to create an interactive experience for clients while filling out their questionnaires. This basically makes your questionnaires responsive to what clients input
- For example, you can add a base question like “Are you planning on helping each other get ready?” and then attach a branch question like “Would you like me to help you organize a ‘first look’ (a special experience of seeing each other in your wedding clothes for the first time as a ‘surprise’)?” that only gets shown if a couple picks “No” on the first base question
- Sprout Studio has a version of this with conditional logic as well, but 17hats’ documentation is more helpful, especially if you’re not already familiar with conditional logic
- Dubsado also currently has this on their wishlist
- All-inclusive plan—so you’ll never be left wondering if there are great features you are missing out on or worrying about when is the right time to upgrade. With tiered plans and pricing, you have to reconfigure your workflow and process to take advantage of new features you gain access to when you upgrade… and if you’re busy, that means you might not have time to take advantage of them when you need them most. 17hats started this all-inclusive approach at the beginning of 2025, and it has really simplified the process of signing up and setting up your workflow with everything 17hats has to offer
- Reputation for being reliable—over the years, when I’ve seen photographers mention that they use 17hats, it’s super common for them to say that they’ve been with 17hats for years and are still having a positive experience. 17hats might not have the newest features or a super aesthetic interface, but photographers often mention they feel like they can trust the platform and what they have built on it
17hats Cons
- Simple to the point of being limiting—17hats offers the fundamentals for pretty much anything that you’d want a CRM to be able to handle (workflows, customization, collecting information & payments, streamlining contracts and bookkeeping, sending and organizing communications) and a lot of photographers find the platform approachable… but the downside to that is that there tend to be fewer advanced features and limits to how much you can do
- Workflows are a good example of this—there are only three items that can be added to your workflow (a to do item, an action item, and a pause item), which might not be as robust as other alternative CRMs for photographers who are really wanting to prioritize automation
- Outdated information—it can be difficult to figure out what you are actually getting as a user or how to use the features you have access to because there are outdated documents in their help center that reference plan tiers that no longer exist
- Email automation requires checking off a to-do item—if you are a photographer who travels a lot or tries to knock out all of your admin tasks twice a week rather than every day, this can create unnecessary pauses in your workflow
Who 17hats is Best For
- Photographers who:
- rely on questionnaires to get to know their clients better or collect more detailed information
- want a studio management system that is functional but also simple and straightforward
- are looking to set up a CRM once and know that it will reliably have their backs
17hats Reviews from Real Photographers
- “I am with 17hats, I chose them solely due to their incredible workflows, it was also so insanely easy and fast to set up it blew my mind. They did add a visual pipeline which was a big complaint of mine when I joined, but I’m absolutely thrilled with 17hats.”
- “I absolutely love 17hats. I have been with them from the beginning and haven’t even considered looking elsewhere. I LOVE that everything can be customized, as far as branding, to match your website vibes. 🙂 Plus the features and the price… love it. Once you have all of your templates built, it’s very easy to use”

- 17hats offers 7-day free trial, during which you have access to all of the features offered by the platform
Option 6: VSCO Workspace (previously Táve)
VSCO Workspace Pros
- Public API—VSCO Workspace is the only CRM option on this list that has a public API (or Application Programming Interface), which is an advanced functionality that programmers can use to actually add new functionalities and possibilities to the platform
- Advanced and unmatched CSS styling—although Sprout Studio and Dubsado also have plans that allow for CSS, they are limited to styling forms. The CSS functionality for VSCO Workspace can also control the appearance and content for quotes, invoices, contracts, etc.
- Impressive workflow automation options—VSCO Workspace automations are built on observables (or the trigger), conditions (limiting factors), and actions (the result, like adding a task or sending an email). Conditions are not an option built into every CRM, and the way VSCO Workspace’s automations are designed to take it into account at each step allows the user to get very granular and specific when building detailed workflows
VSCO Workspace Cons
- Recent transition from Táve to VSCO Workspace—Táve became VSCO Workspace on August 6th, 2025, so users could experience snags, errors, or slower customer service responses as a result
- VSCO Workspace heavily promotes text messaging… which is a feature that it does not have—currently VSCO Workspace promotes text messaging as a feature that is “coming soon” through across their website: on their homepage, pricing page, features page, and a page completely dedicated to text messaging as a feature for users… but VSCO Workspace has not publicly announced a release date for this feature, which could raise questions about how and when VSCO Workspace will deliver on promises made to users
Who VSCO Workspace is Best For
- Photographers who are:
- Technologically savvy and wanting to get the most possible out of their CRM—the public API and CSS customization open up many new possibilities that are unmatched by other common CRM options
- Interested in exploring what VSCO has to offer, which also includes VSCO’s Photo Editor, Capture camera app, Canvas mood board maker, and Hub marketing platform
VSCO Workspace Reviews from Real Photographers
Táve became VSCO Workspace on August 6th, 2025—these reviews were shared before that, so they still use the previous name of Táve:
- “I’ve used Tave for years. I have no complaints and the price is always seemingly stable (in the 200’s). It’s not as pretty as I hear some others are allowing colors and such, but that’s not something I’m looking for, so it’s been great!”
- “Tavé is SO powerful and customizable.”
- ““Hands down Tave is the best our [out] there. I’ve trialed [HoneyBook], Dubsado, and Picsello and I will never be convinced to move my business away from Tave.”
Get Started with VSCO Workspace
- VSCO Workspace’s free trial is much longer than most of its competitors’ 7-day trial periods. You can try out VSCO Workspace for 30 days before starting a subscription. All new subscribers can book a free onboarding session here
- Migration packages begin at $99, which includes 10 templates, 5 projects, and a personalized training session after migration. Learn more about VSCO Workspace’s migration pricing here
Option 7: Sprout Studio
Sprout Studio Pros
- Helpful video tutorials—Sprout Studio shares a lot of useful information through videos on their main website and in many of their help center answers. Combined with their Business of Photography podcast, Sprout Studio is committed to helping photographers learn and grow in many different mediums other than just written articles or instructions
- Tools & resources for managing multiple brands & photographers—even though many other CRMs can accommodate more one brand or photographer, these features are well thought-out and designed for photographers overseeing a business structure larger than themselves or a single brand
- Email marketing functionality—Sprout Studio is the only CRM included in this list that provides email functionality for sending mass emails to more than individual clients or couples—and is capable of sending full email campaigns
- Photography-specific features that other CRMs and studio management systems don’t offer—including detailed gallery integration, email album design proofs, virtual IPS features, etc. (limited to the 2 highest tier plans)
Sprout Studio Cons
- Complicated payment collection—most other CRMs include some sort of package selection or quote before sending an invoice, but Sprout Studio has many options: packages, quotes, booking proposals, booking pages/catalog… having so many different options to present pricing could be confusing and overwhelming, especially to newer photographers just starting to figure out their booking process
- Four tiers of pricing can make it difficult to find the right fit—every other CRM on this list currently offers three or fewer packages, and photographers wanting to take advantage of Sprout Studio’s unique tools for photographers will likely need to commit to the Pro or Unlimited plan
Who Sprout Studio is Best For
- Photographers who:
- are searching for a studio management software that can help them manage multiple brands or team members
- want all parts of their business to be consolidated in one place
- prioritize print and product sales
Sprout Studio Review from a Real Photographer
- “I think Sprout Studio has the potential to be incredible, but it’s buggy and extremely slow, I truthfully regret ever signing up, they never follow through on promises, it was so awful I cried over it so many times. I did zoom calls with them showing them bugs and issues all the time that they were always “surprised” by.”
Get Started with Sprout Studio
- Like VSCO Workspace, Sprout Studio offers a longer 30-day free trial period, which you can sign up for here
- Sprout Studio includes a DIY Migration Tool—or personalized migration via Sprout’s concierge service begins at $63

What is the best CRM for Photographers?
In my opinion, Dubsado is the best CRM for photographers because of its ease of use & setup, customization, and automation (especially for the price!).
Dubsado was the most used CRM by the photographers I polled, and there’s a good reason for that.
Over the years, I’ve used a few different CRMs (including 17hats & Pixifi—which wasn’t included here because it didn’t rank in the top CRMs for photographers this time around)... and I’ve tested out several more, including HoneyBook, Sprout Studio, and Táve (now VSCO Workspace).
I’ve been really happy with how Dubsado helps streamline my business from the business owner side & also for the experience it helps me provide on the client side.
Some of my favorite features of Dubsado are:
- Branding customization—which covers everything from proposals and invoices to questionnaires. You can make it look exactly like your brand and website (even to the point of embedding it into your site!) or you can keep it simple & clean without any third party branding
- Client portals—again, the customization is amazing for Dubsado’s client portals… but it also collects everything my clients need in one place, including external links to Google Docs!
- Workflows & automations—you can automate SO many parts of your workflow with Dubsado, from contracts & invoices to questionnaires & emails. The flexibility with timing and triggers helps my workflow be exactly what I want it to be. These automations save me so much time and ensures nothing falls through the cracks for any client
- Built-in call scheduler—it’s phenomenal, and I’ve found that a lot of the features are on par with what I was getting with a paid Calendly subscription. It’s nice to have all of my scheduling and communications in one place!
I’ll be honest with you: other CRMs on this list share these features… and some of them even have all of them.
What sets Dubsado apart to me is how it organizes my business and client relationships for me and my couples.
Dubado’s interface is intuitive and user-friendly, but it doesn’t compromise on functionality (it can do everything I need it to & then some). The way it organizes information, lists out my important tasks & to-dos, and lets me see where my clients are at with a glance works for me and how I run my business.
That’s why it’s important to try out a few CRM options before committing. Think of it a bit like dating… the more you understand what qualities you are looking for and wanting out of the experience, the more confident you’ll feel in the decision you end up making.
How to Try Out the Best Photographer CRMs
All 7 of the best CRM options for photographers offer some sort of free trial—but some are more generous than others.
Being mindful of the free trial duration can help set your expectations for how much you can realistically try out during the trial period… and help you make sure that you are signing up for the free trials during periods of time where you can best take advantage of exploring what the CRM has to offer.
- Dubsado and Pixieset Studio Manager have free trials that allow you to have up to 3 clients before needing to upgrade to a paid subscription—with no time limits
- VSCO Workspace and Sprout Studio both offer a 30-day free trial, which gives you nearly a month to get an idea of how that CRM would work for you
- HoneyBook, 17hats, and Studio Ninja have the most restrictive trial periods, each limited to 7 days
Conclusion
That’s it! You’ve got all the information you need to know on the top CRMs in the game right now so that you can start implementing a great one for your business.
